These Terms and Conditions govern your use of Anima's services. By making a payment, confirming your booking, or placing a deposit, you acknowledge and accept these terms. Whether you book through our website, via email, or any other communication channel, your booking or reservation confirmation signifies your agreement to the Terms and Conditions outlined below. Please read them carefully before proceeding with any reservation.
Please note that these Terms and Conditions may be updated from time to time. It is your responsibility to review them regularly.
DEFINITIONS
"The Company" refers to Anima.
"Anima" or "Anima Adventures" refers interchangeably to the Company.
"Adventure" or "Trip" refers to any trip, excursion, or adventure organised by Us.
"We" and "Us" refer to the Company.
"You" and "Your" refer to the participant or signee.
"Start Date" refers to 12 PM on the designated date your Adventure begins.
"End Date" refers to 12 PM on the designated date your Adventure ends.
"Booking Fee" or "Deposit" refers to the non-refundable £600 required to secure your booking.
"Organisers" include Anima and any agents, contractors, or third parties engaged in providing services.
"Cancellation" refers to your failure to attend, postponing, or rescheduling your Adventure.
"Primary Place of Business" refers to any accommodation provided by Anima as part of your Adventure.
1. UNDERSTANDING YOUR CONTRACT
By making a booking with Anima, you confirm that you have read, understood, and agreed to these Terms and Conditions. You must not proceed with a booking if you do not accept these policies.
2. POLICIES
Minimum Age Requirement
The minimum age for participation in any Adventure is 18. Participants under 18 must be accompanied by a parent or guardian who provides written consent.
Cooling Off Period
There is no cooling-off period for booking any Adventure with Anima.
Health and Fitness
By booking with Anima, you warrant that you are medically, physically, and emotionally fit to participate. You are responsible for obtaining medical clearance from a healthcare professional if necessary and understand that you participate at your own risk.
You authorise Anima to seek medical assistance on your behalf, if deemed necessary, and agree to be responsible for any associated costs.
Acknowledgment of Risk
Travel and physical activities involve inherent risks. By participating, you acknowledge that some risks, including life-threatening risks, are unavoidable. Anima will take reasonable precautions, but you understand that certain risks cannot be mitigated entirely. You are responsible for your safety at all times.
Indemnity
You agree to indemnify Anima, its agents, instructors, leaders, and contractors from any injuries, accidents, or damages incurred during your Adventure.
Release of Liability
You release Anima, its employees, agents, and representatives from liability for any injury, death, or property damage resulting from your participation, even if caused by negligence.
3. PAYMENTS AND FEES
Booking and Payment Policy
To secure a place on an Adventure, a non-refundable deposit of £600 per person is required. The remaining balance must be paid no later than 30 days before the Adventure Start Date. For bookings made less than 30 days before departure, full payment is required upon booking.
Failure to make timely payments may result in forfeiture of your spot. Anima reserves the right to decline access to services and activities until all outstanding payments are made.
Payment Methods
You must ensure that your payment method is valid and sufficient to cover the full cost of your trip. If your payment fails, you are responsible for any fees or charges incurred.
4. CANCELLATIONS, REFUNDS, AND OPT-OUT POLICY
Guest Cancellations
If you must cancel your reservation, please notify us in writing via email at ai@animauniverse.co.uk. We do not accept cancellations through any other channels. Our cancellation fees are as follows:
Cancellations made 90 days or more before the Start Date: Full refund, minus the £600 deposit.
Cancellations made 60-90 days before the Start Date: 50% refund, minus the £600 deposit.
Cancellations made less than 60 days before the Start Date: No refund.
We understand that unforeseen circumstances can arise, and while we genuinely empathise, it is important to note that many of the costs associated with planning and organising a retreat are incurred well in advance. As such, we are unable to offer refunds for cancellations, regardless of the reason (including, but not limited to, illness, personal emergencies, or unforeseen events). All cancellations will be handled in accordance with the policy outlined above.
We strongly recommend that all guests purchase travel cancellation and health insurance to protect themselves against any unexpected events that may prevent their attendance. Please note that the cost of both travel and health insurance is the responsibility of the guest, not Anima.
Opt-Out of Services and Activities
If you choose to opt out of any Inclusions, such as transportation, meals, or activities, you do so voluntarily and at your own discretion. By opting out, you forfeit any entitlement to compensation, refunds, or alternative services, unless agreed upon in writing by Anima prior to the start of your Adventure.
No Compensation for Opt-Out: Anima is not responsible for compensation or alternative services if you choose to opt out of any part of the included services, unless agreed upon in writing in advance.
Risk Acknowledgment: Opting out of any services or activities may result in lost benefits or experience, and Anima is not liable for any consequences of such a decision.
Written Agreement for Exceptions: Any exceptions to the above policy, including refunds or substitutions, must be agreed upon in writing by Anima before your Adventure starts.
Cancellations by Anima
If Anima cancels your Adventure for any reason, you will be offered the option to transfer your payment to a future trip or receive a refund. Refunds will be issued minus any non-retrievable costs.
Force Majeure
Anima is not responsible for any delays, cancellations, or expenses incurred due to events beyond its control, including but not limited to: disease outbreaks, fire, explosion, flood, tempest, adverse weather conditions, power failures, machinery breakdowns, hostilities, riots, acts of terrorism, strikes, lock-outs, wars, or other industrial actions (collectively referred to as "Force Majeure Events"). In such cases, Anima will not be liable for additional costs such as accommodation, meals, transportation, or other incidental expenses.
Late Arrivals/Early Departures
We do not provide refunds or credits for late arrivals or early departures from our Adventure.
5. TRAVEL INSURANCE
You are required to arrange suitable travel and health insurance for the duration of your Adventure. Your policy must cover trip cancellations, medical emergencies, and all activities included in the itinerary. Anima is not responsible for any costs or losses incurred due to insufficient insurance coverage.
6. PASSPORTS, VISAS, AND DOCUMENTATION
It is your responsibility to ensure that you have the appropriate passport, visa(s), and documentation for travel. Anima is not liable for any delays, cancellations, or issues arising from failure to obtain proper documentation.
7. THIRD-PARTY LIABILITY
Anima is not responsible for the actions of third parties, including airlines, hotels, or transportation providers. We are not liable for delays, cancellations, or modifications caused by third parties.
8. BEHAVIOURAL EXPECTATIONS
Fitness and Participation
While fitness activities are encouraged, participation in any activity is voluntary. However, you are expected to approach the Adventure with an open attitude.
Alcohol and Drugs
While alcohol may be consumed at your discretion, Anima does not provide alcoholic beverages and is not responsible for any consequences of alcohol consumption. Illegal drug use is strictly prohibited, and violations may result in expulsion from the Adventure without refund.
Conduct
Disrespectful, abusive, or threatening behaviour towards staff, participants, or third parties will not be tolerated. Anima reserves the right to remove participants from any Adventure for such conduct, without refund.
9. PROMOTIONS AND DISCOUNTS
10% Off Your First Adventure with Us
Subscribe to our newsletter to receive a discount code for 10% off your first adventure with us. This code is valid for one use and cannot be combined with other offers. Orders made with the code are subject to the Cancellation Policy.
10. COMMUNICATIONS AND DATA USAGE
By subscribing to our newsletter or providing your contact information, you consent to receive periodic updates and promotional messages. You can opt-out at any time by following the instructions provided in our communications or contacting us directly. Standard messaging rates may apply.
11. PHOTO/VIDEO RELEASE
By participating in any Anima Adventure, you grant Anima permission to use photos and videos featuring you for promotional purposes. You waive any claims related to the use of these images.
12. GENERAL WAIVER
You agree to sign a safety waiver at least 30 days prior to your Adventure. By participating, you voluntarily assume all risks and agree to release Anima from any claims arising from injuries, losses, or damages during your trip, up to and including death.
